Syncing Contacts with Outlook

Junxure enables you to both export contact data to Microsoft Outlook® as well as import contact data from Outlook to Junxure.

Synchronize Your Contacts With Microsoft Outlook

Step 1: Launch the Update Outlook tool.

From Junxure, go to Database Tools > Update Outlook.


Click View Current Settings and Refresh Outlook Folder Lists under Update Outlook Folder Selections.


The tool will search for shared calendars; this may take a few minutes to complete.


Once complete, the Outlook Folder Options screen will appear. You can view and edit the following options:

View Field Mapping


This option will display a field map of Junxure fields that match up with Outlook fields. Click Close to close this screen.

Edits Made From Outlook


This option will display the Audit Edits - Changes Made From Outlook screen. See Update Outlook for more information on this feature.

Calendar Folder Setup

If you have set up calendars to use from Junxure, you will be able to view the Calendar name and the Outlook Path in the fields provided (highlighted in green below).

To synchronize contacts, go to the Contact Folder Setup section (highlighted in yellow below).


Step 2: Select your contact list and and set up synchronization.

Select a contact list by clicking the drop-down menu in the Outlook Contact Folder. You can click the folder icon to view the contacts in Outlook.



Under How do you want Junxure to interact with this folder, determine if you want to automatically or manually sync your contacts.


If you choose a manual export, click Import or Export under the Commands section to set your sync settings.


If you choose an automatic sync option, click Initialize under the Commands section to set your sync settings.


If you do not want sync your contacts, select None. This will not interfere with email handling.

Manual Export and Import

Manual export and import give you the flexibility to update your Outlook contacts on your schedule and with only those contacts you want to update.


Step 1: In the How do you want Junxure to Interact with the folder section, choose one of the manual exports:

Manually Export all clients: This will export all of your clients.

Manually Export clients by Rule: This will allow you to filter which contacts you wish to export. To use this option:

  • Use the drop-down menu next to the Rule Category field to choose which contacts to sync. Choose By Client to run the update on a single contact, All to see all current Rules in the database, or choose a Rule Category name that you have set up.
  • Use the Edit icon menu to edit an existing rule or click the New icon to create a new rule. See Creating New Rules for more information. 

Step 2: Under the Commands section, click Import to bring Outlook contacts into Junxure; click Export to send contacts into Outlook.

Export: Junxure will provide a pop-up window prompting confirmation that "XX" number of clients will be exported. Click Yes to continue.


In Outlook, the client data will be moved to the Contacts folder indicated.


Import: Junxure will provide a pop-up window confirming the number of Outlook contacts that do not currently have Junxure IDs that will be brought into Junxure. The Edits Made by Outlook button at the top of the screen tracks all data movement in and out of Outlook.


Automatic Export and Import

Automatic Export fields are highlighted in blue below. Junxure will automatically Export or Export/Import clients at each startup of Junxure. This is done with all clients; Rules will not apply to either the export or the sync.


Step 1: Choose in the upper left hand blue box to either export all contacts (from Junxure to Outlook) or Synchronize clients (all contacts from Junxure to Outlook; any contacts in Outlook without a Junxure ID go to Junxure.).

Step 2:  Click Initialize in the lower right corner. Junxure will automatically perform the sync unless this option is turned off.

When updates are made:

  • If both Outlook and Junxure are open, Junxure will update when the Outlook contact changes (when you click Save and Close). Outlook contacts update when an alert initiates (all changes made by all users).
  • If neither Outlook or Junxure are open, the contacts will be updated upon launch of the program. (e.g. if Junxure is launched first, it will update Outlook. If Outlook is launched first, it will initiate the automatic sync.)
